GUIDELINE STATEMENT OF PURPOSE: Ellucian Security Access
Procedure for Staff to Obtain Security Access to the College’s Ellucian Information System.
- In an effort to control unauthorized access, the following guideline will be followed:
- The Supervising Director of a user area shall work with the Information Technology Services department to assign/remove security classes based on job responsibilities/status. This request will be processed through a “help desk” email for initiating, tracking, control and auditing purposes. This process will be completed for new or terminated employees as well as those that have changed job responsibilities.
- The Information Technology Services department will assign the appropriate security classes to each employee and notify the Supervising Director of completion.
- After the completion of “Core Training”, Employees will then be able to login to Ellucian and access the appropriate resources that are required to complete their job responsibilities.
- The Information Technology Services department will maintain a confidential listing of employees and associated security classes for review and auditing purposes. The security class list will be reviewed on a monthly basis. (Please see Administrative Guideline 1114, “Employee Guidelines for Securing Confidential Data” for additional information”.)
- The Supervising Directors will communicate the importance of keeping SCC User ID’s and passwords confidential and inaccessible to others.
- The Supervising Directors shall have responsibility for security control within their area.
- All employees approved to access Ellucian offsite are required to utilize an Information Technology Services approved Virtual Private Network (VPN).
